1. Who we are

Artqiv is an art collection management platform operated by Artqiv LLC, a limited liability company organized under the laws of the State of Florida, United States, with mailing address at 1395 Brickell Avenue, Suite 800, Miami, FL 33131 ("Artqiv", "we", "us"). Our website address is https://www.artqiv.com and the application is served at https://app.artqiv.com.

This policy explains what personal data we collect, why we collect it, how we share it, and the rights you have over it. By using Artqiv you agree to this policy.

2. What personal data we collect and why we collect it

Account data

When you create an account we collect your name, email address, and — if you sign in with Google — the basic profile information Google shares with us (name, email, profile picture). We use this data to create and secure your account, communicate with you about the service, and provide support.

Collection data ("Customer Content")

Artqiv exists to manage your art collection. In the course of using the service you may upload or enter: artwork records and images, provenance and condition notes, artist information, contacts (collectors, galleries, dealers), invoices, private viewing pages, newsletters, and related documents. This data belongs to you. We store and process it solely to provide the service to you, as described in our Terms of Service. We do not sell it, share it with other customers, or use it for advertising.

Billing data

Payments are processed by Stripe, Inc. Your card number is entered directly with Stripe and is never stored on our servers. We retain only the billing records Stripe provides us (plan, status, invoices, last four digits of the card). Stripe's privacy policy is available at https://stripe.com/privacy.

Usage and log data

Like most online services, we automatically collect limited technical data: IP address, browser type, pages visited, and timestamps. We use this to secure the service, prevent abuse, and understand aggregate usage. We do not use third-party advertising trackers.

Cookies

We use cookies strictly to keep you signed in and to remember interface preferences (such as language). We do not use advertising cookies. Session cookies expire when your session ends; preference cookies last up to one year.

3. AI features

Some Artqiv features (artist biography generation, collection Q&A) are powered by a third-party AI provider (Anthropic). When you use these features, the relevant portions of your collection data are sent to the provider to generate the response, under API terms that prohibit the provider from training its models on your data. AI-generated content may contain errors and should be reviewed before relying on it.

4. How we share your data

We share personal data only with:

  • Service providers that host and operate the platform on our behalf: Supabase (database, authentication, and file storage), Vercel (application hosting), Stripe (payments), Resend (transactional email), and Anthropic (AI features). Each provider has access only to the data necessary to perform its function and is bound by its own confidentiality and data-protection obligations.
  • Successors to our business, if Artqiv merges with, acquires, or is acquired by another entity. Any successor will remain subject to the commitments in this policy or will notify you of changes.
  • Legal authorities, when required to comply with a court order, subpoena, or applicable law, or to investigate fraud or abuse of the service.

We never sell your personal data or your Customer Content.

5. How long we retain your data

We retain your data for as long as your account is active. If you close your account, we delete your Customer Content within 90 days, except for billing records we are required to keep for tax, legal, or accounting purposes.

6. What rights you have over your data

You can access, correct, export, or delete your data at any time from within the application, or by writing to support@artqiv.com. Export includes your complete collection data in a portable format. Deletion requests are honored except for data we are obliged to keep for administrative, legal, or security purposes.

7. Where your data is stored

Your data is hosted on servers located in the United States. If you access Artqiv from outside the United States, you consent to your data being transferred to and processed in the United States.

8. Security

We protect your data with encryption in transit (TLS), encrypted storage, strict organization-level data isolation (each customer's collection is technically segregated from every other customer's), and access controls limited to personnel who need it to operate the service.

9. Changes to this policy

We may update this policy from time to time. We will notify you of material changes by email or through the application. The "Last updated" date at the top reflects the current version.
